What is the recommended way to secure a Zoom meeting?
First, simply use a passcode even for meetings that are restricted to University of Toronto attendees. Enabling "require authenticated connections" forces the attendees to set up their Zoom clients before the meeting, which can cause problems and unnecessary frustration to the meeting attendees. The passcode alone should be sufficient and does not have to be numeric, by the way. For instance, we've used a simple, all-lowercase word for the Physical Chemistry seminar series as well as the departmental colloquia.
Second, go through all the settings and turn off anything that's unnecessary, for example:
- video for participants should be off by default (this helps preserve bandwidth by reducing the number of video feeds and prevents unnecessary microphone feedback/echo from participants).
- allow participants to join anytime should be turned off. This will ensure that you as the host will have to be present in order for the meeting to start.
- if you have a colleague or perhaps a student helping you organize the seminar, and they have a UTORid, you can add them as an alternative host. As long as they are logged on to the Zoom client with their UTORid, Zoom will recognize them as a co-host automatically.
After the event starts and reaches a "critical mass" of attendees (e.g. 10-15 min into the presentation) you can use Zoom's in-meeting security toolbox to enable the waiting room. That way only the latecomers would need to be admitted manually. You can also lock things down further by disallowing participants to unmute themselves, rename themselves or to share their screens, all from the Zoom security toolbox.
